Sales reporting

Daily sales reporting: the five numbers worth reading every morning

You do not need a dashboard full of charts. You need a short list of numbers, read at the same time every day, compared with the same day last week.

Published · 5 minute read

Reporting only helps if someone reads it. The best daily report for an independent operator is short enough to read with a morning coffee and consistent enough that anything unusual stands out on its own.

The five numbers

1. Fuel gallons, by product. Gallons tell you more than fuel dollars, because dollars move with price. Compare with the same weekday last week.

2. Inside sales, before tax. The store side of the business, in one number. Again, compare with the same weekday last week.

3. Inside transactions. Count, not dollars. If sales are flat but transactions fell, your average basket grew while fewer people came inside. Those are different problems.

4. Over and short, by shift. Small and random is normal. Repeated on one shift is a conversation.

5. Anything still unreconciled. Deposits not yet cleared, card batches not yet matched, invoices received but not entered. This is your back-office to-do list.

Why "same day last week"

Comparing Tuesday with Monday tells you very little. Comparing this Tuesday with last Tuesday removes most of the weekly rhythm and shows real change. Over time, add same day last year where you have the data, to account for seasons and holidays.

Read trends, not days

A single bad day is weather, a road closure, or a pump that went down. Three soft Tuesdays in a row is a trend. Keep a simple weekly view next to the daily one so you can tell the difference.

Signs the report is lying to you

  • Totals that never change by a cent. Someone may be copying, not counting.
  • A category that is always zero. A department that never sells anything is usually mis-mapped in the POS.
  • Numbers that only ever arrive late. A report that shows up on Thursday for Monday is history, not information.

Making it happen without extra work

Most POS systems already capture these numbers. The work is getting them into one place, consistently, every day. The WRK Fuels portal includes a live sales feed and business analytics views. If you would rather we prepare and review the numbers for you, that is part of Back-Office Management.
